A lot goes into having a successful meeting — from making sure you have the suitable materials to preparing for tough questions. But one of the essential parts of any meeting is etiquette. Whether you’re the host or a guest, there are specific rules you need to follow to make the meeting run smoothly and avoid any awkwardness. This blog post will discuss every professional’s critical etiquette rules before attending a meeting.

1. Arrive on Time

One of the most basic meetings rules is to arrive on time. If you’re running late, try to let the host know as soon as possible. Arriving late can throw off the entire meeting and make everyone feel uncomfortable.

If you have to miss a meeting, be sure to send an email or call ahead to let the host know.

2. Turn off Your Phone

It’s important to turn off your phone or put it on silent during a meeting. If you’re using your phone, people might think that they’re not getting enough attention and feel their time is being wasted. Make sure to set the alarm if necessary so you can check the time without having to look at your phone.

In addition to turning off phones, make sure everyone has their laptops closed or put away so that everyone can pay attention.

3. Be Respectful

One of the most critical meetings etiquette rules is being respectful to everyone in the room. This includes both your fellow attendees and the host. Showing respect is key to creating a positive and productive meeting environment.

Be mindful of your tone of voice and avoid talking over others. If you have any questions or need clarification, raise your hand and wait for the host to call on you.

4. Listening Is Key

Listening is another important etiquette rule. When you’re speaking, make sure to avoid interrupting others who are talking or asking questions. If someone else has a question that’s similar to yours, wait until they’ve finished before asking your own. This will help keep the meeting moving smoothly and prevent unnecessary confusion.

If you need clarification on something said during the meeting, raise your hand and wait for the host to call on you before asking. You can also use this as an opportunity to ask questions about topics that haven’t yet been discussed but may be of interest. If there are no other attendees who would like their questions answered at that time, feel free to ask your own.
